Contacts
Everyone who books with your team becomes a contact: their name, their email address, their bookings with your team, and the notes and tags your team adds.
LiveContacts is live for every team, in your dashboard's sidebar.
Who sees what
- Owner and admins. Every contact and every booking.
- Members. The bookings they host or attend, and the contacts on those bookings. They add notes and tags about those contacts.
Everyone on your team who can see a contact can read that contact's notes. Each person edits only their own notes; the owner and admins can delete any note.
Find someone
- Select Contacts in your dashboard's sidebar. On a phone it is under More.
- Search by name, email or tag. Each row shows the contact's name, address and tags, how many bookings they have, and their first and last booking. Show more loads the next ones.
- Open a contact to see their bookings, under Upcoming and Past and cancelled.
Add notes and tags
- On a contact's page, type in Add a note for your team and select Add note. A note is plain text, up to 4,000 characters, and shows who wrote it and when.
- To change a note you wrote, use its Edit, then Save.
- Under Tags, type in Add a tag and select Add tag. Your team's tags are offered as you type. A tag is one line of up to 40 characters, and a contact can have up to 20.
Who counts as a contact
- Every email address on a booking with your team: the person who booked, and the guests they added.
- Your team's own people are left out, so a collective meeting does not make your colleagues contacts.
- The name shown is the one on their latest booking that has a name.
- A booking that was rescheduled is counted once, as its new booking.
Limits
- The list shows 50 contacts at a time. A contact's page shows up to 200 bookings and 200 notes, and says how many more there are.
- Contacts are read from your bookings each time you open the page, so they are always current. Only the notes and tags are stored, in your team's own database.
